Email Settings Screen

Email Settings are configured in Setup / Extensibility / Email Settings / Email Settings

Overview

From this screen you can configure outgoing email settings which allows the system to send emails to users and account contacts. Emails can be sent for multiple purposes, such as resetting user passwords or emailing invoices to billing contacts.

Prerequisites

Email settings can be setup immediately, there are no prerequisite configuration steps.

Email Settings Panel

The Email Settings panel on the left of this screen allows you to select existing email settings to view and edit on the Edit Email Settings panel to the right. Actions are also available in this panel which are shown as icons above the Filter text box. The available actions are described below.

Sends a test email to the AdminPortal user's email address using the email settings selected

Edit Email Settings Panel

The information in this panel reflects the currently selected email settings. From here you can change the settings (note: fields with a magenta left border are required).

Email Settings Fields:

  • Name: a unique name for the email settings (e.g. the smtp mail server name)

  • Type: allows you to specify the method used to send email. The options are SMTP Authentication or using Google Json Web Token (JWT). Depending on the option selected different configuration fields will be displayed, see below for details.

SMTP Authentication Fields:

  • Server Host Name: the outgoing mail server host name (e.g. smtp.xxxxx.com)

  • Port: the outgoing mail server port number

  • Use STARTTLS Only: enables the STARTTLS email protocol

  • Name: the name that will appear in the 'From' address field when the system sends a message. If the email being sent uses an email template then the 'From' name configured on the template will override this setting

  • Email Address: the email address that will appear as the sender's address. The from address configured on an email template will override this value if an email template is used

  • Username: a valid username/email address used to authenticate with the smtp server

  • Password: the password associated with the username/email account supplied above

  • Max Size: the maximum size email attachments on a system generated email can be (this should match or be less than the smtp server's attachments size limit). The max size is not per file attachment but the total size of all attachments on the email

  • Notify User: the user that will be notified in the event an attempt is made to send an email with attachments that exceed the Max Size value specified above

Google JWT Fields:

  • Name: the name that will appear in the 'From' address field when the system sends a message. If the email being sent uses an email template then the 'From' name configured on the template will override this setting

  • Email Address: the email address that will appear as the sender's address. The from address configured on an email template will override this value if an email template is used

  • Google Service Account Key Json File: allows you to upload the private key obtained from Google

  • Token URL: preset Oath2 URL (read only)

  • Max Size: the maximum size email attachments on a system generated email can be (Google currently limits this size to 25 MB). The max size is not per file attachment but the total size of all attachments on the email

  • Notify User: the user that will be notified in the event an attempt is made to send an email with attachments that exceed the Max Size value specified above


Guides

Adding Email Settings

  1. Under the Email Settings heading on the left click the  icon

  2. Under the Add Email Settings heading on the right specify the Email settings (see the Edit Email Panel section above for field descriptions)

  3. Click Save

  4. To test your email settings click on the Send Test Email icon. This will send an email using the supplied Email settings to the email address setup on the LogiSense Billing user you are currently logged in as


Editing Email Settings

  1. Under the Email Settings heading on the left click the Email settings you wish to edit

  2. Under the Edit Email Settings heading on the right modify the settings (see the Edit Email Panel section above for field descriptions)

  3. Click Save when you have finished making changes


Deleting Email Settings

  1. Under the Email Settings heading on the left select the Email settings you wish to delete

  2. Under the same Email Settings heading click the  icon

  3. On the confirmation dialog that appears select Yes


How to Handle Email Delivery Failures

When the Maximum Attachment Size is Exceeded:

If email Invoice delivery fails due to the invoice pdf attachment exceeding the Max Size value or the invoice pdf plus other attachments exceeding the Max Size value, then:

  • The system user set in the Notify User field will be emailed to alert that user of the failure sending the email message

  • The invoice will be listed as delivered on the account

To deliver the invoice to the user manually:

  1. Access the account containing the invoice

  2. From the account, on the Overview menu select Billing and then Invoices

  3. View and then download the invoice (see the account invoices screen help for instructions on how to view and download invoices)

  4. Outside of the LogiSense billing system send an email to the account’s billing contact with the invoice pdf attached
