Changing Accounts to Parent Accounts, Sub Accounts or Transferring to Another Owner

Summary

This article describes the options available to transform a sub-account into a parent account, make a parent account a sub-account of another existing parent account or transfer an account to another owner.

Terminology in this article - some terms used in this KB and EngageIP are interchangeable:

  • Child account < > sub-account

  • Parent account < > main account

Converting a Parent Account to a Child Account

This option allows you to convert/move a parent account to a sub account under another parent account. The accounts must be under the same owner (only existing parent accounts under the same owner will be displayed). When the account is moved, the invoices under the parent account that is being moved will be closed. All invoices will be updated to belong to the new parent account. Transactions are also updated in the same fashion.

Process:

  1. In the EngageIP AdminPortal load the Parent Account you wish to make into a Sub Account

  2. Load the Tools page

  3. Click on the Make SubAccount of New Parent link
    Note: if this option is not present then ensure you are on a parent account, your role has the appropriate permissions configured and you are not on the Owner User account

  4. Check the box in the Select column to indicate which account will become the parent account for the account you are presently on

  5. Click the MakeSub button

  6. The account you accessed is now a Sub Account of the Parent Account that you selected above. The Overview page for each account will indicate the Main Account/Sub Account relationship

Converting a Child Account to a Parent Account

This option allows you to convert a child account to a parent account. An example of where this option may be used is when a child account requests to have his/her own invoice instead of their transactions being sent to their parent account. Once the child account is changed to a parent account they will be billed, receive invoices and also have the option to have child accounts under them.

Note: When a child account is moved to a parent account, any transactions that were associated or applied on the child account will be transferred to the new invoicer.

Process:

  1. Load the Tools page

  2. Select the Make Parent option
    Note: If you do not see this link, check that your Role permissions are configured

  3. The child's name will appear on the screen. If this is the correct child account click the Save button

  4. A Success message should appear indicating that the sub account has been converted to a parent account

Note: If you need update the account name, you can do so after making the account into a parent.

Moving a Child Account to a new Parent Account

This operation involves both of the above mentioned features:

  1. Make the Child account a Parent:

    1. On the child click Tools

    2. click Make Parent (if you don't see this link, ensure you are on the right account and that you have role permissions specified for this operation)

  2. Set the Account as a Child of another Account:

    1. Click Tools

    2. Click Make Subaccount of New Parent

    3. Specify the parent account the account should go under

    4. click MakeSub

  3. Confirm the account structure is in order by clicking on the parent account and looking at its sub accounts

Moving an Account From One Owner to Another Owner

It's possible to move an account in EngageIP to another owner in specific scenarios (detailed below). If the change owner operation is not supported you will need to cancel the account under the current owner, and recreate the account under the new owner.

Functionality/Limitations:

  • Accounts can be moved from one unbranded owner to another unbranded owner as long as both unbranded owners reside directly under the same branded owner

  • An account under an unbranded owner cannot be moved up to a branded owner or higher level owner

  • Accounts from a branded or top level owner can only be moved down one level to an unbranded owner

  • UserPackages (No Optional Services, No Resources, Equipment, or Profile Data or other components).

Items that are not moved:

  • UserPackage:

    • Optional Services

    • Resources

    • Equipment

    • Profile Data or other components

Process:

  1. Load the Account/User you wish to move to a new Owner

  2. Click on the Tools page

  3. Click Change Owner

  4. Select the Owner you wish to move the account under and click the Change button

  5. Using the Owner Tree navigate to the Owner that the account was moved under

  6. On the left sidebar under the Account Statistics heading click on the Active number

  7. The User will now be listed as an Account under the new Owner
