Summary
The statement of account provides a single location to view all account related transactions, in contrast to the Transactions page where debits, credits, and payments are all listed separately. All account transactions on this report are chronologically listed, making it easy to audit and perform other regular reconciliation tasks.
An invoice will be tagged on payments and credits as well in the report if these transactions have been assigned to an invoice. The report indicates which invoice the credit or payment is displayed on, though the payment or credit may not necessarily be disbursed to that invoice. Disbursement is when a payment is applied against the balance of an existing or older invoice whereas the simple displaying of a payment or credit on an invoice is used to reflect to the customer that payment was received. If an invoice number is empty the payment or credit was not tagged to an invoice yet, but will be tagged when the next open invoice is generated.
Viewing the Statement Of Account Report
Load the account you wish to get a statement report for
Click the Reports tab
Under the column Account Reports click on Statement Of Account
The Statement Of Account table will load, see the table below for details on the data that each field is displaying
Columns | Definitions |
ID | The transaction ID number |
Date | The date of the transaction |
User | The account associated with the transaction |
Invoice | The invoice on which the transaction appeared or associated with. Payments and credits will also be tagged with which invoice they appear on. If invoice number is blank, this means the payment or credit was not tagged to an invoice yet and will be tagged to the next open invoice |
Type | The type of transaction recorded (i.e. Charge) |
Total | The total amount of the transaction including tax |
Amount | The amount of the transaction before taxes |
Tax | The amount of tax applied to the transaction |
Discount | The amount of the discount applied to the transaction |
Detail | The detail associated with the transaction |
